Hey Dave, what's happening with the Smith job?

Dave · Personal assistant

I've checked the job record and the latest customer emails. I've also confirmed with Sarah, who manages the Smith relationship. Here's where it stands, plus one item that needs your decision.

DaveSarah · Customer relationships
Dave is a personal assistant. Sarah is a company digital employee responsible for customer relationships. Dave pulls the job status from your business knowledge and coordinates with Sarah. He brings back a useful answer and leaves the decision with a person.

What a digital employee is

Give AI a role, not just a prompt.

A digital employee is an AI-powered role in your business. Like any employee, it needs knowledge of the organisation, clear responsibilities, the right access, firm boundaries and someone to report to.

01

Personal assistants

Each staff member's own AI assistant. It works with that person's context and only the authority that person is allowed to hold.

“Dave, give me an update on the job.”
02

Company digital employees

Shared roles that carry responsibility for the business: marketing, customer service or administration. They coordinate with people and personal assistants, within their permissions.

Every digital employee comes with specialists. The digital employee owns the role and its responsibilities. Specialists carry out focused tasks within it and work only within the digital employee's authority.

How they work

Five foundations every digital employee works within.

  1. 01

    Business knowledge

Customers, projects, history, documents and operations are available in the right context.

  2. 02

    Access

Each digital employee uses only the connected systems and tools its role needs.

  3. 03

    Authority

You define what each one may access, propose, carry out or escalate. That authority belongs to the business, not to the AI model or the individual user.

  4. 04

    Collaboration

Personal assistants, company digital employees and your staff work together through business conversations and workflows.

  5. 05

    Accountability

Activity, approvals and actions can be reviewed through Holiday's governance and audit record.

Why Holiday

Connecting AI to your tools is the easy part.

MCP and APIs can connect an AI to tools and data. On their own, they don't give it a place in your organisation. Holiday is built around that environment.

Common first roles

Start with work you already hand to someone else.

01

Digital Presence

SEO, AI search visibility, website content planning, monitoring and optimisation recommendations.

Overseen by: marketing lead or owner.
02

Outbound Sales

Prospect research, draft cold and warm outreach, follow-up preparation and newsletter coordination.

Overseen by: sales lead, with approval and compliance controls.
03

Social Media

Content calendar, draft posts, engagement monitoring and approved publishing.

Overseen by: marketing lead.
05

Administration

Document preparation, task follow-up, information gathering and internal coordination.

Overseen by: operations lead.
06

Client Intake (Legal)

Capture enquiries, gather details, flag possible conflicts for a lawyer to check, and book consultations. It never gives legal advice.

Overseen by: a supervising lawyer, who reviews before anything reaches a client.
07

Document Chasing (Accounting)

Track what each client still owes for their return, send approved reminders, and update the job status.

Overseen by: the responsible accountant, who approves client communications.
08

Matter or Job Administration

Prepare file notes, deadline reminders and correspondence summaries for the responsible lawyer or accountant.

Overseen by: the responsible practitioner, who reviews the work.

These are starting templates, not fixed products. What each role can do depends on your systems, permissions and the results it shows in testing.

Who to employ first

Find your first digital employee in two questions.

List the digital work your business does. For each activity, ask:

  1. 1Does it involve talking directly with a customer? Yes or no.
  2. 2Who is responsible for it today? An outsourced provider, an internal employee or you.

The two questions are a starting filter. We also weigh risk, how repeatable the work is, how much judgement it needs, what customers expect, and whether clear limits can be set.

How we start

Begin small. Widen authority as results come in.

  1. Phase 1

    Digital Presence

One contained, measurable function you currently outsource. We set the knowledge it needs, the systems it may use, what needs review and how success is measured.

  2. Phase 2

    Marketing and social

Expand into social content and newsletters. Brand approval, publishing and external sending stay under clearly defined authority.

  3. Phase 3

    Support your people

Connect personal assistants to quoting and customer service for preparation, context and handoffs. Final commercial decisions stay with your team.

Safeguards

Built to be trusted with real work.

Questions & Answers

What businesses ask about digital employees.

What is a digital employee?

An AI-powered role in your business. It has organisational knowledge, defined responsibilities, the access its role needs, limits on what it may do, and a human who oversees it.

How is a digital employee different from a chatbot?

A chatbot answers questions. A digital employee holds a responsibility, such as your SEO or customer enquiries. It works with your business knowledge and other team members, within authority you define.

Do I have to use a particular AI provider?

No. Holiday is the environment your digital employees work in. You choose which AI providers they use.

Will a digital employee talk to my customers?

Only if you decide it should. We recommend starting with work that doesn't involve customers. Customer-facing tasks come later, after testing, with disclosure and clear escalation rules.

Which digital employee should I start with?

Usually work you already outsource and that doesn't involve customer contact, such as SEO and website content. The work, budget and expected result already exist, so success is easy to measure.

Can a digital employee act without approval?

Only within the authority you give it. Most start with drafts or approval-based work, and authority widens once results are reliable. Reading information, making changes, contacting people outside the business and spending money are all permitted separately.
